MGLC Council Meeting Minutes

Special Meeting, November 13, 2005

Members Present: Todd Treml, Steve Hanson, Steve Wagner, Shelly Halverson, Dave Palm, Patty Branch, Laura Winge, Erik Scott, and Sue Schwedler

Members Absent: Mike Eggers, Kathy Bruha, Paul Backer

Todd opened the meeting with prayer.

E-mails had been traded prior to the meeting about concerns with the organizational parts of the by-laws. It was recommended that we make obvious changes to the by-laws.

Erik Scott discovered a new interpretation in the constitution – it states that bylaws can be changed if 60 days notice is given to the council and 30 days notice to the congregation. We all agreed that this interpretation was correct.

Todd suggested that two point people spearhead this project – Steve Hanson and Shelly Halverson. They will gather feedback and put together a final document of the by-laws to present to the council via e-mail prior to the December meeting.

Vision/Mission statement will be on hold until after the structure changes.

Send e-mails to Steve and copy everyone on council. Please do this by Sunday, November 20. Steve will get revised version to all by Thursday, December 1. Council will return any additional feedback by Monday, December 5 and we should be ready to vote on December 8th with little discussion, because the work has been done ahead of time.

Melinda will be asked to send a copy of the constitution to Steve H. We should make sure that constitution and by-laws agree.

The leadership directory is going away. We should also consider a living document that records who leads what.

Geoff Jones submitted a letter in his absence regarding his concerns to the new structure. He is very concerned that it will fragment the youth. It was voiced that we must have a strong staff position in youth and children’s ministry to make sure this works and this needs to remain a priority. Youth would be involved on committees.

Staff position is a key person to catch the overlaps. We all want to plan further out.

Todd will call Geoff regarding his concern. We take his comments very seriously. Other churches that have this organizational flow and it does work and they have strong youth programs. Shepherd of the Hills, Lord of Life are two examples. A lot of the coordination to make sure the areas are covered does fall to the youth director.

With committees – no ownership from committee to council. No single voice of youth or specific interest group. There should be a liaison on council that will work with each of the committee chairs so there is a structure that is built. Each committee has to have right representation for each committee so that all areas are represented.

Can we add something in the description for committee chairs that we need to strive for broad representation – ages/stages so that all have a voice? We need to define chairs of committee responsibilities in the by-laws. We need to have expectations for the committee chairs.

Todd and Organizational team will work on committee definitions. We don’t want to take away the flexibility for the committee and coordination with the other committees, but we want to give it some guidelines.
